Job Description :

Embassy of Japan Executive Secretary
Starting date: as soon as possible
Responsibilities: covering the following but not limited to;
• Manage Senior Diplomat’s office (including coordinate and distribute all e-mail/paper materials in and out of the office, screen phone calls and visitors), determine priorities and provide timely and responsive administrative support.
• Manage documentation and inform the Senior Diplomat of matters requiring attention.
• Liaise on behalf of the Senior Diplomat for contact/appointments in a professional manner
• Liaise with staff of all departments in the Embassy on behalf of the Senior Diplomat.
• Draft and Screen Speech for Senior Diplomat/Official documents
• Maintain of the Senior Diplomat’s diary and program of appointments.
• Assist with arrangements for visiting Ministers, Parliamentarians and officials.
• Assist with coordination of public diplomacy events including the National Day
• Other duties as requested.
• Qualifications:
• University degree holder
• Excellency in oral and written English and Arabic
• Minimum of 3 years of experience in related clerical field
• Advanced computer skills (Microsoft Word, Excel, Access),
• Team Player, excellent communication and interpersonal skills, initiative, reliability
• Attention to details, organizing, and time management
• Consistently approaches work with energy and positive attitude
• Ability to work on own initiative under time constraints and pressure in a multi-cultural
 environment,
• Preferably under 35 years old and,
• Transferable sponsorship or family-sponsored status.
